Privacy Policy

1. Controller and contact information

Your personal data controller is the Latvian Association for Artificial Intelligence (MILA), registered in the Republic of Latvia. We process personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR) and the Latvian Personal Data Processing Law.

2. What data we collect

Depending on how you interact with our services, MILA may process the following categories of personal data:

2.1. Identification data

Name, surname, position, and organization, collected when you register for events, submit a membership application, or contact us.

2.2. Contact information

E-mail address and phone number, used for communication, newsletter delivery with your consent, and maintaining contractual relations.

2.3. Technical data

IP address, browser type, device information, and website visit data collected automatically through cookies and analytics tools to improve website performance.

2.4. Payment data

Data required for membership fee processing. Payment card details are not stored on our servers and are processed only through certified payment service providers.

3. Why we process data

We process personal data only for specific, clear, and legitimate purposes:

3.1. Service delivery

Reviewing membership applications, registering event participants, maintaining the MILA member directory, and providing other services related to the association's activities. Legal basis: GDPR Article 6(1)(b), performance of a contract.

3.2. Communication and marketing

Sending newsletters, event announcements, and updates. Legal basis: GDPR Article 6(1)(a), your consent. You may withdraw consent at any time by writing to info@mila.lv.

3.3. Legal compliance

Accounting, tax reporting, and other obligations required by applicable law. Legal basis: GDPR Article 6(1)(c), compliance with a legal obligation.

4. Data retention and security

Personal data is stored only for as long as necessary for the relevant processing purposes or as required by applicable law. After the retention period ends, data is securely deleted or anonymized.

MILA uses technical and organizational measures to protect your personal data against unauthorized access, loss, or destruction, including encryption, access control, and regular security reviews.

4.1. Retention periods

Member data is retained while membership is active and for 5 years after it ends. Event participant data is retained for 2 years. Accounting documents are retained for 10 years in accordance with accounting law. Marketing consent records are retained until withdrawn.

5. Your rights

Under the GDPR, you have the following rights in relation to your personal data:

5.1. Right of access

You may request information about what personal data we hold about you and obtain a copy of that data.

5.2. Right to rectification

If your data is inaccurate or incomplete, you may request that it be corrected.

5.3. Right to erasure

In certain circumstances, you may request the deletion of your personal data, subject to legal restrictions.

5.4. Right to object

You may object to processing based on legitimate interests and may opt out of marketing communications at any time.

To exercise your rights, please contact info@mila.lv. You also have the right to submit a complaint to the Data State Inspectorate at www.dvi.gov.lv.

6. Cookies
